This sheet shows the structure you could use for your report

Explain how you obtained and utilised the resources required for your project

  • list resources with a brief description of each
  • how did you ensure that they were available?
  • what steps did you take to arrange these where necessary (eg training, assistance with a task, images for a site, software, monitoring and project management systems etc
  • how were each actually utilised? 

Compare the outcomes of your project to those specified in your project proposal documentation in the following areas:

working within the proposed time scale,

  • copy your original schedule or timescale from the project proposal report 

  • highlight / draw attention to what proved different in practice, emphasising significant differences and what also may have gone as anticipated 
brief commentary on the comparison of dates

use of appropriate techniques for generating solutions

  • indicate problems / barriers / hurdles encountered (and accelerators where appropriate too) and what techniques you used to recognise them (threats or opportunities) and come up with solutions 

monitoring development against the agreed project plan

  • how did you monitor progress? 

Explain how you organised, analysed and interpreted relevant outcomes at stages of your project in maintaining and adapting the project plan where appropriate

  • referring to the differences between your plan and what actually happened – resource implications, problems encountered etc., explain the impact they had on progress and the achievement of milestones along the way 
  • where you adapted the plan, what changes were made and what methodology did you use to identify alternative options? 

Use appropriate project evaluation techniques to provide:

detailed analysis of results

  • referring to your final output of the project, analyse what it does, how it meets requirements, feedback from reviews by users / stakeholders etc 

critical analysis against the project specification and planned procedures

  • Check what you have achieved against initial expectations and requirements as specified in the project proposal report. Break down the reasons for differences, identifying root causes and causal influences, predicted, predictable, unexpected events 

Use appropriate techniques to justify your project’s progress and outcomes in terms of the original agreed project specification

  • the end result is almost certain to be different in some ways from what you had originally proposed in your project proposal report. Why did you believe that it was right to continue at each stage where adjustment was needed.
  • to what extent did you consult others with an interest?
  • why were the new specifications (date, scope, nature etc) deemed acceptable? Could they have been better predicted at the outset? 

Make recommendations and justify areas for further consideration with regard to:

the significance of your project;

  • who should benefit from your project? How will you ensure that they do? How else might you promote recognition of the value of what you have spent time doing? 

application of project results

  • what have you and other parties learned / gained / acquired from your project? How will the results influence them or others. Will they influence you? 

limitations of the project;

  • where would you suggest applying limitations to conclusions from your work? Why? 
  • to what extent was it limited in scope at the outset and did that or has that changed? 

recommendations for further consideration

  • what further research or development would you suggest is made to take what this project has achieved further? To what extent might development not be appropriate?


Note: this is not an evaluation report (that comes later). This stage is all about what you actually did, how you did it, what went right, what didn’t and how you catered for various events on the way through. Milestones and detailed monitoring records are key to having the required evidence to make this make sense.
